Office Moving Checklist – 5 Tips for Moving Your Business

Moving a business or office can be even more stressful than moving your home.  If you are the business owner, or someone who is managing the move to a new office, you want to make sure you are prepared for whatever may come.

Not waiting until the last minute is the best thing you can do when you’re getting ready to move your office or small business.  Here is a small checklist that we find helps our customers out a little when it comes time for them to plan an office move.

1.) First thing’s first, plan ahead!  We can not stress this enough.  You want to give your employees plenty of notice so they have enough time to pack their belongings, and even help you plan if necessary.  Employees are vital assets to every business, so let them know as soon as you can about the upcoming move.  Decide what items can be packed ahead of time and which items need to remain unpacked until the final couple days.  Just keeping the bare essentials and packing less important items can make things run a little more smoothly on the day of the move.

2.) Label your Boxes!  This is a help to everyone, not just you!  It helps the business moving company that is loading and unloading your things into the trucks and the employees who will have to unpack them at the new location.  Organization is key to a successful and stress-free move, and it’s very easy to do, so take advantage of it.

3.) Layout the New Office ahead of time.  Determining where desks, shelves, cabinets, etc. will go before you get to your new location can save a lot of time and struggle.  Get employee input on this as well, they are the people that will be working in this new environment, so why not give them a say in how it’s laid out?  Even if you think you are the Da Vinci of office architecture, their suggestions may help!  Figure out where every item will go, down to office decor.  This way, as soon as the trucks pull up to the new office, you know right where to tell the moving team to put things.  There is minimal confusion, and everything will run much more smoothly.

4.) Back-Up all Important Electronic Documents.  This is kind of a no brainer but it does take planning and time to execute.  You don’t want any of your computers, servers, or hard drives moved until you have a back-up copy of all your important information.  Take advantage of cloud based storage solutions like Google Docs and Box.net to place a copy of your important data where you can retrieve it from any computer anywhere.  Make sure your mover is licensed, insured, and experienced at moving computer related equipment.  If you have a very important computer your couldn’t stand to loose, move it yourself, and be careful !!!!

5.) Look into Business Moving Companies.  These guys are expert movers, they know how to get your belongings from point A to point B safely and professionally.  They have the right equipment and knowhow to make sure your office move is as easy as it can be.  Why go through the stress and struggle (and possibly back pain!) of moving your office yourself when these guys can do it affordably and quickly?

6 Moving Tips to Make Your Next Move Easier!

We’ve put together a list of some of the most important moving tips for people to keep in mind while planning their move :

1.) Make Lists…And Check Them Twice!
Making a list seems like something that anyone would commonly do when beginning to plan their move, but sometimes it gets forgotten with all the other worries that may come along with moving.  Believe it or not, this is one of the easiest things you can do to reduce some of this worry and better organize your moving agenda.  Regardless of whether it’s an official looking computer-printed list or just some scribbles in a notebook, it’s going to help you out a lot.  A good tip is to categorize things on your list based on how they will be packed, write down the contents of each box or container.  This way, you’ll know exactly where anything is if you need it, and it will be easier to label the boxes, seeing all the information neatly organized in front of you.  Feeling more organized is a great way to reduce the stress that comes with moving.

2.) Make Sure You Have Enough Supplies!
Before even beginning to pack belongings into boxes, you’ll want to make sure you have enough boxes!  You don’t want to get down to the last bit of stuff you have to pack and run out of boxes or tape, it can be nerve-racking.  If you can, get more moving supplies then you think you will need.  If (based on your list) you think you need 20 boxes, get 30, you can always return the unused ones when you are finished, or save them for storage later!
Another thing to keep in mind when thinking of the supplies you’ll need is the quality of them.  Make sure you have tape strong enough to hold your boxes or containers closed.  You’ll also want to be sure that the boxes you are using aren’t going to fall apart, you don’t want your knick-knacks rolling around in the back of some moving truck!

3.) Color Coordinate!
Assign colors to each room and label the boxes that same color.  This is going to make it quicker and easier on not only yourself, but whoever is lifting and moving your belongings to where they need to go.  Instead of explaining where each and every box or piece of furniture goes, just tell them “Green” is for bathroom, if a box has green on it, it goes in the bathroom!  Organization is key when trying to plan a stress-free move, and color coordinating is a very simple way to stay organized when you get to the new place.

4.) Pack to the Future!
Hello!? McFly!? If you aren’t going to use the extra set of silverware or wear your favorite sweater in the middle of the summer, pack them ahead of time!  Usually, you know in advance when you are going to move, so why not take some time to make it run more smoothly when it comes to that day?  Figure out what the essentials are and pack everything else!  Only keep the necessary cooking supplies, pack additional pots and pans, out of season clothes, extra electronics, anything you can live without for a week until  it comes time to pack everything.

5.) Special-Items; Special Care
If you have treasured and valued belongings (doesn’t everyone?), don’t pack them with everything else.  Keep these belongings together, and with you if possible.  Maybe you have jewelry from a relative or some important documents that you don’t want to get lost along the way.  Keeping a box for “special items” and separate it from your other belongings.  Also, find out if the moving company you choose offers insurance, and what you’d have to do to file a claim in case of a loss.  You’ll sleep better at night knowing your beloved items will be safe and sound.
